This article summarizes the use of Zoom Rooms, which are physical meeting spaces around campus with touch screen technology so faculty and staff can host work meetings.

Classroom instructors, refer to the Using Zoom in the Classroom article for instructions.

Zoom Room meetings must be scheduled from your Google Candar so you can select the room you will be using. Zoom Room meetings will be booked to the room's calendar.


Scheduling a Zoom Room Meeting

  1. Log into your Boise State Google Calendar.

  2. Create a new event.

  3. Click More Options at the bottom of the event.

  4. Enter your meeting settings.

  5. Click Make it a Zoom Meeting. If prompted, keep editing.

  6. Click Rooms

    1. Select a conference room for your meeting. The room show up in your guest list.

  1. Click Save to schedule the meeting.

TBD … I think there must be some information we can share about conference rooms. For example

  • Can all conference be booked for Zoom Room meetings? Do they all have the technology?

  • Why do some rooms show as crossed out on the list?

  • What are the “rules” for people to successfully book and host a zoom room meeting?

Starting or Joining a Scheduled Zoom Room Meeting

There are two ways to start or join a scheduled Zoom Room meeting.

  1. Tap Home on the touch panel, locate and tap on the meeting then tap Join.

  1. Log into the Zoom Workplace app.

    1. Click the Pair icon to pair your device with the Zoom Room.

    2. Select how you would like to start or join the meeting.

Launching a New Meeting from a Zoom Room

You may also start a new meeting from your reserved conference room.

  1. Tap New Meeting from the Home menu on the touch panel.

  2. Tap Start to begin your new, instant meeting.

Powering the Zoom Room TV On or Off

There are different ways to access the TV controls.

  1. Select any button on the touch panel’s Home menu to turn the TV on.

  1. Go to the Room Controls menu on the left side of the screen to turn the TV on or off.

Controls Available During a Zoom Room Meeting

  1. The Meeting Information icon (the green shield at the top left) lists your meeting ID, an invite link, or security information.

  2. The Room Controls menu (the remote icon at the top right) provides access to the TV controls.

  3. The More menu (circle with dots icon) reveals additional meeting features such as Chat, Captions, and Breakout Rooms.

Sharing Content in a Zoom Room Meeting

You will need share content from within the Zoom Workplace desktop or mobile app.

  1. Click Share screen from your desktop or mobile app. If you are present in the Zoom Room, most rooms will automatically pair and share your content.

    1. If pairing fails, you will be prompted to enter a sharing key. The sharing key is located in the top right corner of the TV or select Share Content on the touch panel.

    2. By default, a meeting will not be started. Content will only be shared locally through the TV display. To share content with meeting guests, select Start Meeting in an instant meeting when prompted.

  1. If multiple people (both in or out of the physical meeting room) want to share content, they can follow the same steps for sharing content.

    1. Select Change Content to switch between different participants in the meeting.
